Oldway Gardens Group Update

Minutes:

Davina Luther attended today from Groundworks and provided an update on the works that Groundworks carry out. Groundworks are working with various friends groups and SWISCo and putting together an action plan on the various groups and the works being carried out at the various locations within Torbay.

 

Groundworks are going to be working with Oldway Gardens Group and will be creating some signage for the grounds.

Jo Jones attended today on behalf of Tim Eley and provided an update on the works that the Gardens group are carrying out. 

 

There are guided tours starting today throughout the summer. Dog behaviour and puppy classes are starting to take place on the grounds. KM asked that TE confirms the nature of the activity for the dog classes and that the necessary paperwork has been provided. JJ advised that she will ask TE to confirm.  ACTION - JJ

 

CR advised that there has also been enquiries received from Tai Chi and Yoga classes to be held on the Grounds at Oldway.

 

KM reminded all the any business enquiries to take place within the Grounds need to be agreed by Torbay Council as the landlord.

Budget

Minutes:

KM provided an update of the latest budget position for Oldway. Due to the demolition works that took place of the old Squash Courts building, there is forecasted to be an over spend.

 

There is a new budget for the new financial year from April 2021 to cover the ongoing costs for Oldway for 2021/22.

Trust Update

Minutes:

PH advised that the Trust are working with Torbay Council to firm up the memorandum of understanding to enable them to be able to apply for some funding. 

 

The Trust are working with the Friends of Oldway to assist with the reopening of the café.

 

The Trust will be working with Torbay Council to assist with expression of interest and the resilience bid for Heritage Lottery funding along with DCA.

 

CR advised that on 13th April he is meeting with Purcell Architects on site to look at the condition of the building. They will also look at the repairs that are required in priority order that need to take place to stop any further deterioration of the building.

 

CR advised that he would like to encourage all the groups to continue to work as one team to assist with applying for funding in the future.

Friends of Oldway Group Update

Minutes:

KH advised that the café has not yet opened due to the current Covid restrictions and will be opening hopefully in May.

 

KH advised that she is meeting with a contractor on 13th April as they have confirmed that they are interested in assisting with the installation of a new disabled toilet facility for the café. 

 

Ellacombe Community Café have offered to help with the training of the volunteers for the café and assisting with their food and hygiene courses.

 

KH advised that the Friends groups are in talks with the Trust over the future of the Café and how it is going to be managed.

Any other business

Minutes:

CM asked about for an update on the damage that was caused by the fire in the Rotunda. KM advised that the TDA updated that there was minimal damage to the wooden floor in the middle of the flooring.

 

KM updated that a discussion will be held at Torbay Council Cabinet meeting in May over revising the Memorandum of Understanding with the Trust.

Permission has been given for the Mayors Parlour to be used by the International Agatha Christie Festival for a ticketed event telling Ghost Stories in September.

 

DC advised that the mobile Cinema events will be happening again at Oldway in May and August.

 

DC updated that he has discussed with KM the need for positive communications to be issued about Oldway and KM will be speaking to Torbay Council Communications team to help to draft a communications plan to work with the all of the groups for Oldway. ACTION - KM

 

A long discussion was held over incidents that have been taking place at Oldway and KH confirmed that she posted on Facebook that any incidents should be reported to Police and Torbay Council security team. DC asked if it would be possible to ask Security as to how many incidents are being reported to them that are happening at Oldway. ACTION – KM/LS
