TDA is looking for a Marketing Executive (part-time) to join its team.

ADMISSION OFFICER POST INFORMATION

This post sits within the Student Services team in the Children’s Services Directorate of Torbay Council. There are 11 people in the team. 4 of these are admission officers. As well as processing all admission applications for children wanting to attend a school in Torbay, the team processes applications for home to school transport assistance and applications for free school meals and pupil premium.

The work involves processing ‘main round’ admission applications and ‘in year’ admission applications. Main round applications are for all children starting in Reception and all children moving from primary to secondary school at the end of year 6. The timing for these processes has been set by the government. Each process culminates in a National Offer Day (1 March for secondary transfer and 16 April for children starting primary school). This means that the spring term and the first part of the summer term are particularly busy for admission officers.

In year applications are all those made at any other time during a child’s school life between the ages of 5 and 16. These applications come in at all times of the school year and are dealt with on an individual basis. One key aspect of the role is being able to juggle these different types of application and to manage the conflicting priorities that arise from running 3 different processes at the same time.

Because of the number of houses being built in parts of Torbay and unpredictable levels of inward migration, there is also a pressure on place in some year groups. This makes it difficult for some families moving into the area to find local school places for their children. Part of this job is to work with the parents of these families and to manage their expectations when they move to Torbay.

Staff in the team take pride in giving a good service to both parents and schools. This means being able to work accurately and quickly, being extremely organised and systematic and being skilled in diplomacy, as well as being a good communicator and a team player.

This is an office based job, although you may occasionally be asked to go to a school to talk to parents about the admission process. The Council operates a flexi scheme which means staff can vary their start and end times from day to day as long as they work the core hours.

For this post, there are some restrictions on hours and leave to ensure that the needs of the service are met. You will need to be at your desk with your computer on and ready to answer phone queries at 10am each day (Mon – Fri). The phone lines stay open until 1pm so normally lunch is taken after 1pm.

Because of the workload and the timing of statutory processes, you will not be able to take annual leave during the first 3 weeks of September. You will not be able to take leave during the Easter break i.e. first two weeks of April, nor in the February half-term. Beyond this leave periods are flexible and are negotiated between staff to ensure that there is always some cover in the office.
